EASY RESERVATIONS FOR IYC2010!
We will be using three hotels in Orlando—the Peabody, the Rosen Centre Hotel, and the Rosen Plaza hotel. We will give you specific instructions in your housing packet on how to make your reservations.
Don't delay—all reservations are to be made by June 19, 2010!
All deposit payments and rooming list information must accompany your reservation to be validated.
STAYING AT A CONVENTION HOTEL SAVES YOU MONEY!
To get the discounted rate, your main group contact must register at least one person for IYC2010. Once the registration has been processed, your main group contact will be sent a housing packet.
The housing packet includes the housing code.
The housing packet gives you all of the instructions to follow for making your hotel reservations.
Please use the form in your housing packet and e-mail, fax or mail it, following the instructions in that packet.
Tax exemption may be available for your group. See the Instructions for Applying for Hotel Occupancy Tax Exemption in Florida section for more information.
A few things to note before proceeding to book your reservation:
- The majority of rooms available are double-doubles.
- The price listed is per room for up to 4 (four) persons in a room.
- Prices do not include taxes.
- Tax exemption may be available for your group. See the Instructions for Applying for Hotel Occupancy Tax Exemption in Florida section for more information.
- A credit card or check guarantee will be due at the time of your reservation. Major credit cards are accepted.
- Rates are good three days before and three days after convention dates, subject to availability.
- You will need the housing code to make your reservation. To get the discounted rate, your main group contact must register at least one person for IYC2010. REMEMBER: Anyone not staying at a convention hotel will have
a $75 per person charge added to their IYC2010 registration fee
because we have worked very hard on hotel contracts,
negotiating costs to be at the lowest rate possible per room night.
To keep these reasonable room rates, we must meet our minimum guarantee with each hotel.
Instructions for Applying for
Hotel Occupancy Tax Exemption in Florida
Total occupancy tax (hotel room tax) in Orlando is currently 13.5%, which is subject to change.
You may be exempt from the state portion of the occupancy tax, currently 12.5%. If your church operates under the General Assembly of the Church of God’s Federal Tax ID number, then you may be exempt from the state portion of Florida hotel occupancy tax. Each congregation that is listed as registered in the current Yearbook of the Church of God that is in good standing may use the General Assembly of the Church of God’s Tax Identification Number. Billing of hotel expenses must be to each local church. If you feel you are covered but do not have a letter on file, you will need to e-mail jhazen@chog.org to request a copy.
You have to apply for this exemption before coming to Orlando. Please follow the guidelines below to complete this process.
In order to claim exemption from the hotel occupancy tax when you check in at the hotel, you have to apply for exemption in advance. To apply, follow these steps:
- Download an Application for Consumer’s Certificate of Exemption (PDF 94 KB). Find the exemption category that best identifies your organization (501 (c)(3) Organization)
- Gather the required documentation for your exemption category.
- Make copies to mail with your application.
- A copy of your 501(c)(3) tax exemption letter should be on file at your church.
- Complete the Application for Consumer’s Certificate of Exemption (Form DR-5) using blue or black ink. Do not leave any items blank.
- Sign the application.
- Mail the DR-5 and documentation to the address on the form.
Upon check-in at your hotel, you must present the following:
- A completed Consumer’s Certificate of Exemption (Form DR-5)
- A copy of your 501(c)(3)tax exemption letter as identification
VERY IMPORTANT: THE NAME OF THE CHURCH OR ORGANIZATION NOTED ON THE TAX EXEMPTION CERTIFICATE MUST MATCH THE NAME THAT IS ON THE FORM OF PAYMENT (CHECK OR CREDIT CARD) IN ORDER TO BE VALID.

QUICK NOTES
Everyone attending the convention must be registered for the convention in order to receive convention hotel rates and attend convention events.

Room prices quoted are the cost of one room for one night (up to 4 persons in a room) and do not include tax.
All reservations require a guarantee. Rates are guaranteed through June 19, 2010. After that date the hotels have the option to charge you a higher rate.
- If you use a church credit card (V/MC/DISC/AMEX/Diners Club accepted), it must be valid through July 31, 2010. Your card will not actually be charged until June 19, 2010. If you cancel the reservation(s) more than 72 hours prior to arrival, the advance deposit will be refunded or credited against the remaining rooms.
- If you opt to secure your reservation with a check or pay your advance deposit with a check, you must submit a deposit of one night’s room and tax for each room reserved. Make all checks payable to your chosen hotel, including your church name and “IYC2010OF” in the memo line. The deposit will be applied toward payment of your total bill.
- Requests received without a valid guarantee (check or credit card) will be returned and will not be processed.
- Special requests cannot be guaranteed; however, hotels will do their best to honor reasonable requests. Hotels will assign specific room types upon check-in, based on availability.
Submit your room requests as soon as possible to avoid late fees and last minute confusion.
After June 19, the hotels have the option to release unsold rooms to the general public. Waiting until the last minute to make reservations is risky.
- Hotel check-in will generally begin at 3:00 PM. The hotels will try to accommodate check-in earlier, but will be limited based on room availability. Your hotel room assignments will be made on a first come/first served basis. The reservation managers of the hotels, and their staff, are committed to a speedy check-in process. They will do everything in their power to have room blocks arranged by group/by floor. To help them accommodate you, please indicate the designated chaperone for each room on the rooming list you provide to your hotel.
The convention center and the hotels are very close to each other, but you will still be doing some walking, so tell everyone to bring their walking shoes!
